To calculate the effectiveness of the recruitment process, the trial’s public reports, such as the trial’s results, are important to know. However, only few evaluations included such data. Of those, Rollman et al [105] showed that the CTRSS was more effective than the manual recruitment process, while the other studies were unable to compare the outcomes of a CTRSS with those of a manual process, either due to lack of data or because the CTRSS was the control group.
We calculated the efficiency of the recruitment process by analyzing the costs and time required for a CTRSS to recruit a given number of participants. Although there are few studies that have analyzed such costs, we based our calculations on available data from the CReDECI trial [3]. The CReDECI study ran between 2007 and 2009 and was conducted by VHA, which is one of the largest health care providers in the United States. The aim of the study was to improve the quality of care for veterans with chronic diseases and disabilities by providing better care coordination. The study was carried out in 8 phases. Phase 3 included a randomized trial to determine whether a CTRSS could improve recruitment compared with a manual process. The CTRSS was developed in consultation with the VHA’s Medical Director for Quality of Care and supported by VHA’s QMSD. The manual recruitment process was based on standard information technology systems, such as VISTAR and VISTAR e-Recruitment.
A CTRSS can decrease the time needed to make the final decision of whether a patient is eligible or not. Once the patient data and the information on the trial are available, a CTRSS can reduce the time needed to identify eligible patients by automating the process of data management. All of the systems under review were able to reduce the time needed to identify patients who could participate by increasing efficiency and accuracy in the identification of relevant data. This is the case, for example, when the system can compare the eligibility criteria of a trial to the patient data with the help of a structured database and the use of keywords or synonyms. One article [94] showed that a CTRSS can be used to automate the process of determining whether a patient is eligible for a given trial to the same extent as a manual process. Another article [95] showed that a CTRSS can be used to identify potential participants for a clinical trial that would not have been identified by a researcher or clinical staff.
